Data Deletion Policy

You have the right to request deletion of your personal data. This policy explains how to request data deletion and what to expect during the process.

Data You May Ask Us to Delete

  • Personal information including name, email address, and phone number
  • Account information and preferences
  • Communication history and support tickets
  • Marketing automation data and campaign history
  • Website analytics and usage data
  • Social media access tokens and credentials, including Facebook Page tokens, Instagram account connections, and any data obtained through the Meta (Facebook) APIs
  • Google API, YouTube API Services, Google Business Profile, and Google Drive authorization tokens, account identifiers, authorized files, channel data, location data, post data, and permitted metrics
  • TikTok, X, LinkedIn, Threads, Reddit, and other social platform authorization tokens, account identifiers, post records, publishing status, uploaded media references, and permitted metrics
  • Photo feed and file source data from CompanyCam, Dropbox, Google Drive, Jobber, and manual uploads, including authorized photos, videos, files, folder metadata, project/job metadata, tags, captions, and import history
  • CRM and customer-system data from HubSpot, Salesforce, GoHighLevel/LeadConnector, Jobber, and similar connected systems, including authorized contacts, companies, deals, opportunities, jobs, requests, visits, and lifecycle records
  • Other personal data associated with you that is eligible for deletion

How to Request Data Deletion

  • Signed-in customers should use Dashboard Settings > Request Account Deletion. This creates a tracked request and shows its current status.
  • If you cannot sign in, do not have an account, or need a narrower privacy request, email [email protected] with "Data Deletion Request" in the subject line or call (307) 316-4989.
  • Include your full name, the email address and organization associated with the data, and the scope of your request. Never send a password, access token, payment-card number, or other authentication secret.
  • We will verify your identity and, for business accounts, your authority to act for the organization before deleting or disclosing account data.
  • State whether you want account-login deletion, deletion of specified stored data, disconnection of a provider, or a combination of those actions.

What Happens After You Request Deletion

  • We record the request, acknowledge it through the available account or contact channel, and verify identity and scope.
  • Submitting a request does not immediately cancel subscriptions, contracts, connected-provider accounts, or billing. Those items are reviewed and resolved before destructive account action when applicable.
  • After verification, we confirm the applicable completion timeline. We honor any shorter deadline required by law or a connected platform instead of applying one universal timeline to every data category.
  • We delete or de-identify eligible data under our control and record completion evidence. We then send a completion notice through the available contact channel.
  • Backups and records subject to an established retention schedule age out under that schedule. Legal holds and records required for tax, billing, fraud prevention, security, or legal claims may be retained for the required period.

Important Information

  • Account-login deletion and deletion of stored data are related but distinct actions. Tell us which outcome you need.
  • Deletion of eligible data under our control is permanent and cannot be reversed.
  • We may retain limited records when required for law, tax, billing, fraud prevention, security, legal claims, or an active legal hold.
  • Active services, contractual duties, and billing must be resolved before full account-login deletion when they prevent safe closure.
  • Properly de-identified or aggregated information that can no longer reasonably identify you may be retained.
  • Deleting data held by Scale Small AI does not delete content or account data held by a connected provider. Use that provider's application when you want provider-side content or account deletion.
  • You may revoke a connected app directly in the provider's security, authorization, marketplace, or connected-app settings. Revocation stops future authorized access, but you may still need to ask us to delete eligible copies already stored by Scale Small AI.
  • For YouTube API Services, we follow YouTube's shorter requirements: stored user data requested for deletion is deleted as soon as possible and within 7 calendar days, and other API data subject to refresh-or-delete rules is refreshed or deleted within the required period.
  • For Meta, TikTok, X, LinkedIn, Google, Dropbox, CompanyCam, Jobber, HubSpot, Salesforce, GoHighLevel/LeadConnector, and other connected platforms, we follow any shorter deletion or retention requirement that applies to the specific integration and data.

Data We Must Retain

In certain circumstances, we may be required to retain some of your data even after a deletion request:

  • Financial records for tax and accounting purposes (typically 7 years)
  • Data required to comply with legal obligations or court orders
  • Information necessary to establish, exercise, or defend legal claims
  • Fraud prevention and security monitoring data

Platform-Specific Revocation

You may request deletion of eligible copies held by Scale Small AI, and you may revoke access directly with the platform that issued the authorization. Revocation and local-data deletion are separate actions.

  • Meta/Facebook/Instagram: remove Scale Small AI from Facebook Settings > Business Integrations or Apps and Websites.
  • Google, YouTube, Google Business Profile, and Google Drive: revoke access at https://security.google.com/settings/security/permissions.
  • TikTok, X, LinkedIn, Threads, Reddit, Dropbox, CompanyCam, Jobber, HubSpot, Salesforce, GoHighLevel/LeadConnector, and similar platforms: revoke Scale Small AI in the provider's app authorization, marketplace, integration, or connected-app settings.
  • After revocation, submit a Scale Small AI deletion request if you want eligible local tokens, cached imports, connected-account identifiers, or service records removed. Provider-side content and account data remain governed by that provider.
